Guest registration

Many countries require accommodation providers to collect a signed registration record for each guest. Reynt captures that record per booking, generates the official PDF on demand, and deletes it automatically when the statutory retention period ends. Today two jurisdictions have a certified field set: Germany (Meldeschein) and Austria (Gästeblatt).

The feature is a capture-and-retain system: the guest completes and signs a form, you store it, and you show it to the authorities on request. Reynt does not transmit any data to a government portal.

Turning it on

Guest registration is off by default. Enable it under Settings → Booking settings (see Booking settings):

Guest registration (Meldeschein) — the master switch.
Registration countries — the listing countries the form applies to. Choose DE, AT, or both. A booking only shows a form when its listing’s country is in this set.

The jurisdiction is decided by the listing’s country, not the guest’s or your own. A German listing always uses the Meldeschein; an Austrian listing always uses the Gästeblatt. A booking on a listing in any other country (or a listing with no country set) never shows a form.

The form adapts automatically to the listing’s jurisdiction — you don’t pick a template.

How a record gets captured

There are two ways a booking’s registration is filled in:

Guest self-service. The guest opens their booking page (the same link used to view the booking) and completes the form, including a drawn or typed signature. No separate login is needed.
Operator capture. You can fill in or complete the record yourself from the booking’s Guest registration card on the booking detail page.

A guest who has not filled the form in gets one reminder the day before arrival, with the link to it — see Before the guest arrives. It goes only to bookings the form applies to and only while the record is still empty.

A record moves through Pending → Submitted (details entered, not yet signed) → Completed (signed). Once a guest has signed a completed record, self-service editing can no longer wipe it — the signature is statutory proof. As the operator you can still amend it.

The booking card and PDF

Every booking whose listing falls in an enabled country shows a Guest registration card on its detail page. The card shows the current status, renders the captured fields for that jurisdiction, and offers a PDF download — the official Meldeschein or Gästeblatt, including the signature.

Retention and deletion

Each record stores a retain-until date — arrival plus the jurisdiction’s retention window (1 year for Germany, 7 years for Austria). A daily background task permanently deletes records once that date passes. You don’t manage this; it keeps you compliant with data-minimisation rules without manual cleanup.

Registration details are stored encrypted and are only readable inside the console. The guest self-service form can submit a record but can never read another guest’s data.
