Before the guest arrives
Two emails can go out on their own in the days before a guest travels. Both are sent by a daily run in the morning, both are sent once per booking, and neither needs anyone to press a button.
Arrival information
Section titled “Arrival information”Switch on Settings → Booking settings → Send arrival information before check-in and every confirmed guest is emailed their arrival details a few days before they travel: how to get there, who hands over the keys, and the check-in time.
- Days before arrival decides how far ahead. The default is three.
- The content comes from the property, not from the email — fill in the listing’s arrival instructions first, or the email has little to say. It is the same information the confirmation email carries, so the two cannot disagree about the door code.
- It is off unless you switch it on.
A guest who books inside the window still gets it, on the next daily run. Nothing goes out on arrival day itself — at that point the guest is already travelling and the email is too late to be useful.
Because it is sent once per booking, moving the dates after it has gone out does not send it again. If arrival details change late, use the booking’s own send controls to tell the guest.
Registration form reminder
Section titled “Registration form reminder”Where guest registration applies, a guest who has not completed the form gets one reminder the day before arrival, with the link to fill it in.
- It is sent only for bookings the registration form actually applies to, and only when the record is still empty. A guest who has already filled it in — or whose form you completed yourself from the booking — hears nothing.
- It has no setting of its own. Switching guest registration on is already an explicit decision; this is part of it.
- The day-before timing is fixed. Earlier and the guest is not thinking about the trip yet; on the day itself they are on the road.
Turning either off, and changing the wording
Section titled “Turning either off, and changing the wording”Both are ordinary notifications: Settings → Notifications lists Send arrival information and Registration form reminder alongside every other guest email, where you can switch each off on its own, edit its wording per language, and send yourself a test.
Switching the arrival email off in Booking settings stops it for everyone; switching it off in Notifications does the same thing from the other end. Use whichever you find first — the arrival details themselves stay where they are either way.
